Find the busywork eating your week, then use Copilot or Gemini to sort your inbox and calendar by what actually matters. About a 10-minute read.

An illustrative priority inbox. Your labels will reflect your own outcomes.
Most managers will tell you what your priorities are.
They rarely show you how to measure whether you are hitting them. That gap is where things start to get messy and where busywork sneaks in without anyone noticing.
Ask the follow-up yourself. “What does a successful outcome look like for each of these?” The moment you ask that question, priorities stop being vague and start turning into outcomes.
Once outcomes are clear, you finally have something most people never get. A way to tell which work actually deserves your time. You have a filter, and that filter is what makes AI genuinely helpful.
Set a timer for 15 minutes. Name your outcomes, give each one a color and let AI help sort your work. Create a category for each priority you agreed with your manager. For example, a launch and reducing support issues may need different categories.
Use a Red, Yellow and Green system to connect your time to your priorities.
Red means highest impact and most time sensitive.
Yellow means important but flexible.
Green means helpful, but not critical.

From there, use your AI assistant to help organize your work around those outcomes. If your company runs on Microsoft tools like Outlook and Microsoft 365, Copilot can help sort and categorize your emails and calendar, so you can see where your time is going. If your company uses Google Workspace instead, Gemini can do the same thing within Gmail and Google Calendar. Either way, both tools can help you line up how you spend your time and who you communicate with against the priorities that actually matter most to your role and your goals.
Create Inbox labels that match your outcomes.
Use either Copilot or Gemini to scan your inbox and suggest how to organize it.
Check your license. Some Outlook features are available with eligible Microsoft 365 plans; advanced capabilities depend on your license and organization. If you’re not sure, ask IT. “Do I have a Microsoft 365 Copilot license, or only Copilot Chat?”
Use a current version of Outlook. Update Outlook, or open Outlook on the web.
Look for the Copilot button. It appears in the Outlook ribbon and at the top of an open email.
Still don’t see it? Your admin may not have turned it on yet. Send IT this page, and use Copilot Chat in the meantime.
These are my three work priorities right now. Launch Messaging, Sales Support and Issue Reduction. Can you scan my inbox and suggest labels for emails based on which priority they support?
Summarize this thread and tell me which of my priorities it supports, if any.
Look at my unread emails from the past two days. Which ones need a reply from me today, and which priority does each one support? List them in order, red first.
Give the assistant your real priorities so you can see which conversations support an outcome and which ones are simply loud. Review its suggestions before changing your inbox.
The same steps work in Gmail. Gemini is built into Gmail in most paid Google Workspace business plans. Open the Gemini panel from the top right of Gmail, then paste the prompts below with your own priorities.

Once your inbox is categorized, open your calendar. Assign each meeting to the priority it supports. Ask what outcome it is meant to produce. At the end of the week, review where your time actually went. Which categories dominated your schedule? Which priorities barely showed up? Were there meetings that never connected to a clear outcome? Use those patterns to set small boundaries for the next week.
